Terms & Conditions
Definitions
1. “Us” and “we” refers to the Company, Chiltern Trike Tours (CTT)
2. “You”, “passengers” and “passenger” refers to the customer.
3. “Service” or “services” refers to any private hire service provided by Chiltern Trike Tours to the customer and includes the hire of the chauffeured trike for tours, rides, as a portrait prop and for media purposes.
By placing a booking with us, you are confirming you have read, understood and agreed to abide by the following published Terms and Conditions. Please ensure you understand them fully prior to placing a booking with us.
Bookings
All services must be booked in advance and are subject to availability.
Services of £250 or less must be paid in full at the time of booking.
For services over £250 will require a 50% deposit at the time of booking – the balance to be paid no less than 14 days before the service.
If you book less than 14 days before the service date, the full amount must be paid at the time of booking.
If you wish to reschedule a service we require a minimum of 7 days notice. There is no charge for this. Prices are subject to change without notice. Discounts and special offers are subject to change without notice.
All tours / runs are priced for the trike as a whole. We can carry a maximum of two passengers subject to weight limits. The cost of the trike for a particular service is the same whether we carry one or two people. There are no reductions for the carrying of a single person.
All tours will depart from a mutually convenient location as agreed at the time of the booking unless subsequently amended by email or telephone. Hires commencing more than 15 miles from the centre of Aylesbury may incur a supplement, but this will by fully explained in email so the customer is aware before they book. Some runs / services may be subject to short notice changes (for example if the weather forecast is better later in the day and the trike is available, we may offer to make a change to the time). We reserve the right to refuse a hire if the pick up or end point would cause issues (eg access difficulties for the trike).
All tours are subject to availability.
Privacy & Security
We do not store credit card details, nor do we share customer details with any 3rd parties. We do comply with the GDPR and local licensing (Buckinghamshire Council) requirements. If a council / government agency makes a request for information we will comply (subject to the correct paperwork being in place). We do not have to inform you before or after we comply that we have done this.
As part of our license we are required to securely store any details we hold - we comply and are inspected as part of the license issued by Buckinghamshire Council.

Cancellation and Refunds
If you wish to cancel a service we need notice in writing (email from the same address as was used in the booking). If we receive the request at least 21 days before the booked service, your deposit or full payment will be fully refunded. If the notice arrives less than 21 days but with 4 days to go, we will charge a 25% booking fee (on the entire amount) and return the rest. Cancellation within 4 days of the run or service will not receive a refund.
Return of money will be to the same account that it was received from.
The trike is an all weather experience. If it does rain at any point in the service, CTT will provide the passengers with waterproofs to protect from the worst of the weather - but some dampness should be expected. Every effort will be made by us to make your experience a pleasurable one, however we are unable to offer a refund once the service has commenced.
In exceptional circumstances (for example the conditions make a ride unsafe) CTT may decide to cancel the service. If this is the case the customer will have the choice of either receiving a full refund or re-booking for a different day.
Weddings/Proms are very special occasions and therefore different cancellation conditions will apply. Should you decide on the day not to use the service due to poor weather conditions we will refund your payment less a 30% cancellation fee.
The maximum liability will not exceed the price of the tour.
Riders can be substituted at any point before the run or service commences but only in an email from the account of the original purchaser (this purchaser may delegate this to another account if necessary).
Rescheduling is possible but we ask that this is received by email at least 24 hours before the time of the run / service. Tighter timescales may be possible but are subject to availability. Rescheduling is subject to a maximum period of 12 months and a maximum number of 2 occasions. After that the service will be deemed complete.
Clothing
CTT strongly recommends that passengers wear long trousers and enclosed sturdy footwear. Flip flops or sandals are not appropriate for the trike. If you are using the trike to go to an event we can carry your change of shoes in the rear trunk as long as they are in a bag. You can switch the shoes over for photos / riding as appropriate.
CTT will provide a helmet which must be worn as a part of the conditions of riding. In addition you may wear sunglasses or similar. The driver will demonstrate the use of the helmet visor which CTT recommend you keep in the down position while the trike is moving. Under UK law neither passengers nor driver of a trike are required to wear a helmet but the local authority and insurance company have deemed that passengers must wear a helmet at all times. When the driver says it is safe to do so you may remove your helmet for the taking of photographs. This will only happen when the trike is parked.
In addition to helmets, CTT provide waterproof jackets (plus waterproof trousers if required) and gloves.
Safety
CTT takes safety very seriously and have worked closely with the licencing authority to make your ride as safe as possible. Passengers undertaking a Chiltern Trike Tour do so at their own risk. It is the customer’s responsibility to observe the safety procedures at all times.
Although the greatest care is taken with our passengers, Chiltern Trike Tours will take no responsibility for any injury sustained by the passenger by not following the safety procedures.
All passengers must wear helmets on the trike. The trike itself is fitted with other safety equipment including a safety bar and lap belts. The driver will demonstrate these at the start of the run / service. In addition, the trike is fitted with foot plates and carries a small first aid kit and a fire extinguisher in the rear compartment.
Passengers also have responsibilities which they agree to as part of the booking or at the commencement of the run / service. If the rules are broken CTT reserves the right to cancel the balance of any remaining service / run without refund. The passenger responsibilities include but are not exclusive to
Be fit to ride (not affected by alcohol or drugs). Included here is a weight limit. If the trike is over weight it can seriously affect the handling. Children under the age of 16 must be accompanied by an adult (AVDC rule). The minimum age is 12 years and the minimum height is 135 cms.
Arrive with suitable clothing (including footwear)
Be on time for the commencement of the run. No time will be added at the end for passengers arriving late as this might affect the next service / run.
Listen to the safety briefing at the start of the run / service.
Stay seated at all times with the safety bar down.
Wear a helmet at all times - unless instructed by the driver that it is safe to remove it.
Do not throw anything from the trike (including words).

Further Conditions
Luggage space is very limited on the trike. Passengers are limited to one small bag (such as a handbag, camera bag or very small rucksack) each. CTT takes no responsibility for loss or damage to any personal items. The trike is insured for passenger and third-party claims, as required under English law. However, whilst every care is always taken, customers’ personal property is carried entirely at their own risk and no responsibility can be accepted for loss or damage. Customers are therefore advised to ensure that they carry adequate and relevant travel insurance.
The following are NOT included as part of any run / service
Entrance to any site or participation in an event that has not been agreed before the hire commenced. This might include entrance to a National Trust property or a ride on the steam train.
Any items the customer decides to purchase at a stop (including but not limited to) refreshments or souvenirs.
Gratuities for the driver.
Some runs or services may include one or more brief stops to allow passengers to take photographs of a location (or the trike). At these stops, CTT may also take photographs (which may include the passengers) for use in future publicity. If you would rather not be included please make this known to the driver before the hire commences.
CTT will not be held responsible for financial or personal loss to you or your group in the event of mechanical failures and events beyond our control. Events beyond our control include (but are not limited to) war, threat of war, riots, civil disturbances, terrorist activity, industrial disputes, natural and nuclear disasters, fire, epidemics, closed or congested roads, villages, towns and cities, actual or potential severe weather conditions (whether materialised or not), and any other similar events.
If you have parked your car in a public car park at the agreed meeting place then CTT advise putting plenty of “time” on any parking tickets. CTT will not be responsible for any issues / fines arising from a late return from a run / service or tour.
Violence, foul language, intimidation, antagonism, or any other form of anti-social behaviour towards the driver or any member of staff of Chiltern Trike Tours will not be tolerated and may result in the termination of hire and /or police involvement. Termination of hire caused by anti-social behaviour will render the hirer liable for the full hire charge. Any persons carrying out acts of vandalism or malicious damage to the vehicle will be prosecuted.
Any damage a passenger may cause to any part of the trike on hire will be billed to the hirer. This may include any repair or valeting required in order to return the vehicle to its pre existing condition.
We reserve the right to alter or amend these terms and conditions at any time.

Gift Vouchers Terms and Conditions
Gift vouchers contain a code that links them to the email account of the purchaser and an expiry date. Any changes to the voucher must quote the code and ideally come from the purchase email account unless authority to use another account has been agreed (authorised agent).
It is the responsibility of the purchaser or authorised agent to keep their accounts secure - any changes appearing to come from their email accounts and quoting the voucher code will be deemed valid (if you lose control of an account you need to inform CTT immediately by telephone)
Gift vouchers can be sent to the purchaser, or on request to the intended receiver. They may / may not have the value printed on them - again by arrangement. We will try to send the voucher on a particular date if asked but we cannot guarantee this. CTT will either email or post (using 1st class recorded post) vouchers to the recipient / purchaser depending on what is agreed. It is the purchaser's responsibility to quote any email or postal address correctly.
Gift vouchers from Chiltern Trike Tours apply only to tours carried out by Chiltern Trikes Tours and not other Trike companies. Once a voucher is redeemed (used) it cannot be reused.
If you find you are unable to use the voucher within the expiry date we are happy to extend the period at our discretion. Please call us to arrange this.
Gift vouchers are non-refundable but can be transferred to another person (authorising agent).
If the value of a tour run / service exceeds the value of the gift voucher, the balance must be paid as per the rules set out in the standard conditions.
If the full amount of the gift voucher is not redeemed, we will credit your customer account with the difference, which you can then redeem against future purchases with CTT until the original voucher expiry date.
Gift vouchers cannot be used to buy further gift vouchers.
